Separation
When a staff member leaves Vanderbilt, the VUnet account is placed in “separated” status. Accounts with this status no longer have access to authentication services. Accounts in Separated status cannot receive email. However, the account still exists in the system, and can be re-activated. Separation rules depend on the type of account that is being separated. For more information about when separation occurs, please see the Account Separation Termination Policy document.
Termination
Terminated accounts are essentially “deleted” and cannot be recovered. At this time the associated VUnetID is retired. At termination, if no email forwarding has been set, then the normal termination process is executed. However, if email forwarding has been set up for the account, then sufficient account attributes are left in the system which will allow email forwarding to continue for nine additional months. During this time the VUnetID remains associated with the user, and could be re-opened for the same user.
Account Extension
In the event that an account owner’s access to either email or any other VunetID authenticated service should be extended, a request must be made to Vanderbilt IT. The request must orginate from a Dean of a school or their designate, an Associate Vice Chancellor, or a Senior Director in Human Resources. Once this request is received by Partner Support in Vanderbilt IT and approved, then the account’s separation and termination date can be extended.
- Note: Extending the termination and separation date of an account will grant the account owner VUnetID authentication privileges to several resources including email and other VUnet ID authenticated services previously approved for this VUnetID. Care should be taken whenever such an extension is offered to make sure that access to any sensitive application is restricted within the application.
