Vmail-Online Archiving

Service Description

Vmail Online Archiving is a Microsoft 365 cloud-based, enterprise-class email archiving solution for organizations that subscribe to Exchange Online. Vmail Online Archiving is designed to help meet the need for robust security, reliability, and user productivity. All mail items three years or older will automatically be moved to your Vmail Archive Mailbox.  You may manually move mail items into your Archive Mailbox at any time. The Archive Mailbox can be browsed by folder, sorted, or searched just as you would in your Primary Mailbox. Your Archive Mailbox retains the last folder where items were located prior to being archived. However, unlike the on-premises email archiving system, purged or permanently deleted items will not be available in your Archive Mailbox.  Therefore, please retain items which you may need at a later date.  

NOTE: If you move items back to your Primary Mailbox that are three years or older, they will automatically be moved to your Archive Mailbox within a day or two.

NOTE: If you have delegate access to someone else’s mailbox and you are unable to view their archive mailbox, contact VUIT for support.

Your Vmail Archive Mailbox can be found in both Outlook and Outlook on the Web (OWA). To access the Archive Mailbox in Outlook, click the folder that starts with “Online Archive”, followed by your email address. This folder is located in the left folder pane. 

  1. If you don’t see a folder starting with “In-Place Archive - <your name>” click the More button on the left side of the screen under folders.
  2. Click the folder that starts with “In-Place Archive - <your name>”

The email archive interface in Outlook offers a search feature. Select In-Place Archive, then click in the search box at the top to see your search choices.

Vmail Online Archiving is needed to overcome Exchange Online service limits. For example, user mailboxes cannot grow larger than 100GB or contain more than 1 million messages in a single folder. Further still, users may experience performance issues if they have more than 100,000 emails in a single folder or 5,000 items on a calendar.

Requesting Service

All Office 365 users have access to Vmail - Online Archive via Outlook desktop or mobile app and Outlook on the Web.
